Thank you for your interest in being a vendor in the Waterfall Festival Vendor Market on October 2nd of 2021. This is the second annual Waterfall Festival put on by Garden Ponds Unlimited and it is expected to be a great event with a large turnout. Here are some general information/rules which will help you determine if this show is a right show for you. Please feel free to contact us if you have any questions. NOTE: Please pay special attention to the Application Instructions. All checks should be made payable to Garden Ponds Unlimited, LLC; however, all application materials (including payment) will be mailed to Garden Ponds Unlimited, LLC.

  1. Set Up: All vendors must be checked in by 10:00 a.m. on Saturday, October 2rd, 2021.

  2. Vendor Hours: The Vendor Market Show Hours are from 11:00 a.m. to 9:00 p.m. on Saturday, October 2nd, 2021. Vendors MUST be open during ALL these hours. Vendors must commit to both show days and cannot tear down the booth prior to festival show ending time.

  3. Tear Down: Vendors may begin to tear down on Saturday at 9:00 P.M. However, vehicle access to the booth areas will not be allowed until the crowds have left, and the grounds are clear of pedestrians. Early tear down will not be allowed. Vendors are allowed to leave tables and tents overnight within the closed off fence and alarm system.

  4. Insurance: Proof of liability insurance naming “Garden Ponds Unlimited, LLC.” as certificate holders (NOT as additional insured) is required of ALL vendors and must be received upon application submission. Vendors shall carry and maintain, in full force and effect during the fair, public liability insurance covering personal injury, bodily injury, and property damage liability, in a form, with limits of coverage of not less than $100,00 for any person or property, and $1,000,000 per occurrence  for each accident or incident. Contractor warrants that they carry the state mandate coverage for workers’ compensation.

  5. Oklahoma Tax Commission: The Participant, whether resident of the state of Oklahoma, is responsible for payment of Oklahoma Sales Tax, and such tax will NOT be collected by Garden Ponds Unlimited. The sales tax rate is 8.75% but is subject to change.



  1. Cleveland County Health Department: All vendors selling any consumable food or beverages are required to obtain a temporary Health Department permit. All food vendors MUST comply with Cleveland County Health Department regulations.

  2. Alcohol: Winery and Brewery Vendors are required to be licensed to sell and distribute alcohol through the ABLE Commission and must provide proof of license. Alcohol vendors must be prepared to pay the $100 to be present for the Waterfall Festival. Alcohol vendors are responsible for checking age.

  3. Deposits: Each applicant is required to provide booth deposits upon application admittance. Booth rental Deposits will be returned Sunday evening after the closing of the festival.  The event is an outdoor event and is subject to adverse weather conditions. Every effort will be made to hold the event as scheduled regardless of the weather. The Waterfall Festival will be continued through rain or shine. Deposits will not be refunded if applicant cancels or becomes a no show.

  4. You must list on your application the kinds or types of products you will sell. Since this is a juried show, if you are accepted an offer to sell products not disclosed on your application you will be asked to cease selling those nondisclosed items. Items or products that compete with Garden Ponds Unlimited LLC., are not permitted without prior authorization.


  1. Garden Ponds Unlimited LLC., will have employees patrolling the area during the show. However, it is the responsibility of the vendor to secure their booth/items.  Garden Ponds Unlimited LLC., will not be liable for theft or damage.

  2. The Waterfall Festival is intended to be a family friendly event. All booths and items sold should be tasteful and non-offensive. Replica guns, plastic items such as commercially produced products one would find in a flea market, and University of Oklahoma trademark items without proof of licensing agreement are prohibited.

  3. Fire Marshal: All tents should be no greater than a 10x10. Any vendors with a space greater than 120 Square feet (larger than a 10x12) must provide a copy of their certificate of Flame Resistance to The Waterfall Festival’s coordinators and have a fire extinguisher on hand (artisans type ABC, food vendors type K).

  4. Leash Law: All pets must always be on a leash, per city law. Pets may not be left unattended or unsupervised at any time.

  5. No smoking/Vaping/Medical cannabis:  Smoking is prohibited. Participants will be allowed to smoke in parking lots and will be enforced with no exception.

  6. The Waterfall Festival will have one food truck on Saturday and Sunday. Only approved food vendors may sell food and/or beverages. NO OTHER VENDORS EXCEPT FOOD TRUCKS, APPOVED VENDORS, WINERIES, AND BREWERIES WILL BE ALLOWED TO SELL OR DISTRIBUTE FOOD OR BEVERAGES. You may bring your own food and beverages for personal consumption in your booth during show hours; however, these must be brought in during set-up times and before the show officially opens. Outside food and beverages will not


  1. be allowed into the show area during event hours.

  2. Application Process: There will be a juried process to determine which vendors are accepted into the Vendor Market. If you wish to be considered, please complete the Application in full and submit ALL requested information as instructed in the Application. Applications which fail to include all the information and/or follow all the instructions will not be considered. Submission of an application is not a guarantee of acceptance. Applicants who are not accepted will have their application fee returned to them promptly upon notification. ALL vendors are required to pay a nonrefundable $15 application fee.

  3. Unlike past shows, there will be NO informational booths accepted into the Vendor Market. Only booths selling products will be considered for acceptance.

  4. Staff will be available to assist you in finding your location, if needed, but are not available for carrying equipment, setting up tables, booths, or performing other tasks related to set up.

  5. Artisans and vendors must provide their own booth or tent display materials. Food vendors must provide all equipment necessary for food services, in adherence to Cleveland County Health Department regulations.

  6. Being a past vendor will be considered but is not a guarantee of acceptance this year.

  7. Vendors must conduct themselves with good manners in a polite and professional manner.

  8. Submission of an application to the Waterfall Festival constitutes agreement by entrant to the rules, regulations, and procedures, as outlined in the document.

  9. All vendors must submit application no later than AUGUST  1st, 2021 by 5:00 PM.

The Waterfall Festival is an outdoor event, held at temporary site on unimproved grounds. Be aware that Oklahoma weather is unpredictable, at best. While we typically have pleasant weekends, your advance preparation for the following situations is necessary.

  • Extreme Heat

  • Unexpected cold

  • Dry, Hard ground with dust

  • Heavy rain and severe storms that resulted in flash floods.

  • Variable ground conditions: flat, paved, sloped, grassy, gravelly, muddy, divots, potholes.

  • Wind will be present.

  2. Snack Food Vendor Space (No bigger than10 ‘x 10 ‘. One snack type food item. Not located in food concession area.) $100 non - refundable.

  3. Food Truck Vendor (Vendor provides own trailer, electric, and water.) $250 deposit completely refunded on the last night of the festival.
